Activities & Key Features
Introduction
This document highlights some of the key SiteAssist features that can be used depending on the activity/template. The activities listed are the most common activities/templates being used in SiteAssist. We try to keep it as up-to-date as possible but some activities might not be listed.
1. Service Avoidance

Digital Mapping & Geolocation: Visualise permit locations, reducing confusion and ensuring safe, efficient excavation planning

Live Photos: Guarantee accurate, real-time site conditions by mandating live photos, ensuring safety measures are up-to-date and verified
-
Approver Question: Set the approver questions allows more experienced utility managers to contribute to the safety information given to the gang. Adding a series of review questions places more pressure on approvers to complete a thorough permit audit before approval

Drawing upload & annotations: Attach drawings & documents onto permits and use advanced built-in annotation tools. Easily upload from your local device or directly from SiteBox (built-in document management)

Linked Checklists: Attach any relevant trial hole checklists to the permit to dig. Placing all relevant utility information in the hands of the operative

Pre-Start Tasks: Assign custom pre-start tasks like geolocated briefings or scans to the right team members based on their role, ensuring critical safety steps are completed before work begins. This reduces risks and enhances accountability

Conditional Approval: If a highly complexity excavation activity is identified by the author, multiple levels of approval are automatically triggered. This ensures high-risk permits are peer-reviewed by suitably experienced users

GPR Overlay: Overlay GPR (Ground Penetrating Radar) information onto the map to indicate areas with (or without) utilities. This is to act as guidance information only. The users must still use other PAS128 methods to validate true service location
2. Hot Works

Plan View: Provides a comprehensive overview of permitted activities on site, streamlining the permit deconfliction process and mitigating the risk of permit clashes

Acknowledge information: Highly specific toolbox talks (pdf) can be presented to the supervisor to brief and acknowledge before work begins. This ensures that only relevant safety information is shown to the gang at the right time

Fire Watch: Implement a fire watch countdown following completion of permitted work, and incorporate thermal or standard Images of the work area

AI Hazard Detection: SiteAssist AI model will analyse images and notify the authorised person(s) of the presence or absence of fire extinguishers, as well as other hazards

Permit Cloning: The cloning tool enables Hot Works permits to be cloned safely from the day before. All written information is copied over, users must still display daily proof of mitigation measures in place. All briefings, approves and post permit checks must be completed as usual

Briefings: Mandate point of work briefings to ensure clear communication of information and risk across the relevant working team
3. Stepladders

Volumes (Clone): Larger sites produce a high volume of stepladder permits. By implementing a digital permit platform you will drastically reduce time spent on admin

AI Hazard Detection: SiteAssist AI model will analyse images and notify the authorised person(s) of the presence or absence of ladder inspection tags as well as other hazards

Machine Learning Duplicate Image Detection: SiteAssist ML model will detect if an uploaded photo has been used previously in any other document/process across the whole organisation

Register Linking: Make sure equipment is inspected on time prior to use and store create equipment registers to keep track of status
-
Plan View: Provides a comprehensive overview of permitted activities on site, streamlining the permit deconfliction process and mitigating risk of permit clashes
4. ESSW / MSSW (Electrical/Mechanical Safe System of Works)

Customised Workflow: Electrical/Mechanical permits are generally very controlled and the workflow associated with them requires multiple approval levels and steps

AI Hazard Detection: SiteAssist AI model will analyse images and notify the authorised person(s) of the presence or absence of isolation padlocks and keys as well as other hazards

Authorisation Groups: Ensure only authorised people with the right competencies can raise or issue electrical and mechanical permits
-
Digital MIMIC Board: Digitise your mimic boards and diagrams to keep track of switch status, permits associated with work on specific equipment/switches etc. This also gives you a fully auditable timeline for each switch
5. Confined Spaces

Briefings with hold points: Ensure precautions and permit content are briefed to the relevant people prior to entering confined space. Capture photos of briefings as well as geolocation of briefings

Periodic Checks: Ensure periodic checks like gas level monitoring is done on a regular basis whilst work is taking place
-
Early Completion & Exit verification: Close out permit with ease when work is complete and verify that everyone has exited the confined space
-
Visualise potential clashes: Identify if there are activities in the vicinity of the confined space that could require additional precautions, like hot works near confined space would require additional ventilation or breathing apparatus

Conditional Pre-start Tasks: Tasks can be assigned to the supervisor depending on the Risk and complexity of the activity. Custom tasks such as enhanced gas checks can be added to meduim and high risk confined space activites.

Conditional approval: The levels of approval needed can increase for high risk confined space permits. This ensures a peer review of competent individuals occurs before the activity begins.
6. Working at Height

Mandatory Photos: Guarantee accurate, real-time site conditions by mandating photos, ensuring edge protection, protected access & egress etc is verified

Conditional Logic: Working at Height permits can be longer than necessary leading to a 'tick in the box' mentality. Streamline the process and enable users to answer only questions that are relevant to the task at hand
7. Temporary Works

Conditional Approval: Depending on the Temp Work Management class, the permits can be set up to include additional approvals from different authorisation groups

Design Brief Planning: Identify complex assets that require planning 12 months in advance of their installation date on site
-
Registers: Upload your Temporary Works Registers into SiteAssist via Excel, API or UI
-
Asset Timeline: View all changes in an audit timeline of each temporary works item
-
Interlinking: Connect permits and routine inspections to items in the register
-
Scheduled inspections: Schedule Temporary Work inspections and make sure assets are inspected on time
8. Environmental Activities

Conditional Pre-start Tasks: The permit can be configured to require the presence of an ecologist for certain activities
-
Acknowledge information: Highly specific toolbox talks (pdf) can be presented to the supervisor to brief and acknowledge before work begins. This ensures only relevant environmental information is shown to the gang at the right time

Conditional Approval: The more interfaces with flora and fauna, the more levels of specialist approval are required
-
Approval Questions: With a large knowledge gap in ecology, the experienced approvers must be able to contribute additional information to the permit.

DEFRA Map Overlay: Ecology layers sources from Magic Defra Map can be overlayed on the base map
9. Lifting

Suspend Permit: If an AP (authorised person) needs to notify all users to stop work due to high winds they can suspend the permit remotely. This keeps an audit log of any delays due to wind

Linked Checklists: Link equipment checklists

Approver Questions: Absorb the lift plan appraisal document into the permit to lift by adding approver questions for a secondary AP to fill in
-
Lift Plan Management: The permit to lift aligns with the expiry of the lift plan. This solution will notify as the lift plan is due a review.
10. Pumping Concrete

Multi-level Approval: For highly complex pours, additional levels of approval can be triggered. Ensuring that suitably experienced peers have reviewed the safe system of work

Linked Checklists: Mandatory inspections of the pump and pipes must be completed in advance of use
-
Blockage Hold Points: Hold points can be added to ensure pump operators are following the correct blockage clearing procedure.

Acknlowledge information PDFs are presented to the operator and supervisor as a quick reminder of the blockage procedure (water or air)
11. PUWER/LOLER

Equipment Register: Upload your equipment registers into SiteAssist via Excel, API or UI
-
Certificates & Inspections: Connect 6mo + 12mo Certificates, delivery inspections, and Pre-Use inspections to items in the register
-
Expiration Monitoring: Track and monitor the expiry of a combination of Certificates and Inspections
-
Real-Time Status: Easily see which equipment is Off-hired, In use, Quarantined or missing documentation

12. Point of Work Briefings
-
Linking capabilities: Seamless linking between safety documents like permits and checklists. This is to ensure process compliance at all times
-
Geolocated Briefings: Ensure briefings are being done at the correct location by capturing the location of the briefing. Timestamps and geostamps are logged in the audit timeline for assurance

Conversational UX (coming soon): Users can record themselves and explain the works, actions, etc and SiteAssist’s AI translates the audio into complete safety documentation, intelligently answering related questions in real time. This feature streamlines reporting, making safety compliance faster and more intuitive

QR Code Briefings: Each permit and checklist will have a QR code that participants can scan in order to add themself to the permit without having to have an account to SiteAssist

Conditional logic: Demolition Permits can be longer than necessary leading to a 'tick in the box' mentality. Streamline the process and enable users to only answer questions that are relevant to the task at hand

Document Upload: Users can upload and attach Certificates of Isolation or Disconnection directly to the permit
-
Permit Linking: Demolition is often associated with other permits, such as Hot Works permits and temporary Works permits. Ensure that all required permits are active and linked before work commences
Approver QuestionsCreate questions to be answered by the approver of permits to improve reviewing process

Fully customisable templates: Create any type of Inspection / Audit template with the various question types and hold points as well as workflow

Deviation/task management: Raise deviations/issues/tasks from an inspection form and assign them to individuals or groups for rectification
-
Due Dates & Risk Levels: Set risk levels and due dates for tasks and deviations to keep track of contractor performance, close-out times etc

Inspection Scheduling: Schedule inspections that are done with a specific frequency and make sure they are completed on time

Near miss & Observation reporting: Raise Near Misses, Risks, Positive Observations, Accidents. Authorised persons can then decide if it needs to escalate or if a task needs to be assigned for rectification
